Your website handles the booking and scheduling you do manually today

Web development is my primary focus, with AI automation as an add-on service. I integrate your daily booking, scheduling, and administration into your website or a custom AI system—then it runs on its own.

Areas that can be automated

Four processes where repetitive administrative tasks consume the most work hours.

Scheduling, client communication, data entry, and measurement. Start by automating whichever one involves the most manual steps in your business.

  • 01

    Scheduling and capacity booking

Confirming the time and number of participants takes several rounds of phone calls, messages, and emails, and then someone manually enters the details in the calendar. While this is happening, the available capacity remains unbooked. With a booking interface, the appointment is recorded as soon as it is selected, along with the number of available spots.

  • 02

    Recurring client questions

The same questions come in about business hours, terms, and the next step. Your team knows the answers by heart, yet writes them out manually every time. The system can provide these answers as soon as a question comes in.

  • 03

    Data entry and transfer

The details from an incoming inquiry are entered into a spreadsheet, an email, and an internal record. The same name and phone number are manually entered in three places — this is where most typos occur. A form captures the data once and then passes it on to the internal record.

  • 04

    Process measurement

You can see the number of incoming inquiries, but not the steps in between. There is no way to tell where the process breaks down, so improvements are based on impressions. Measurement points show where prospects drop off.

// The order depends on which area consumes the most work hours.

// An add-on service to web development: I automate manual administrative tasks with custom systems

  1. 01Marketing automation – instead of sending mass newsletters, I track what visitors do on your site and send them relevant content based on their actions, so by the time you speak with them personally, you are talking to an informed customer who is ready to make a decision
  2. 02Appointment booking systems – I built a custom appointment booking system for the Klimessence Signature studio so they would not have to pay for an external booking service; for the experience provider Rollio De Madrid, I built a rule-based system with different booking rules for each service, built-in contract acceptance and optional insurance requests, and capacity tracking – I can build the same logic around your process
  3. 03AI chatbot integration – instead of building the chatbot using a general AI model, I train it on your company’s own knowledge base so it can answer recurring questions instantly and accurately – leaving your customer service team free to focus entirely on real business conversations
  4. 04AI-powered process automation – instead of a general rule, your sales process decides where each incoming quote request or customer record should go – based on this, the system routes the information to the right folder or colleague, allowing your team to spend all their time on meaningful work
  5. 05Analytics & measurement – by tracking the visitor journey precisely, you can see where prospects leave the process before making a decision – and use that information to make targeted improvements to your site

Two design principles

The system works by your rules, on your own website.

Your decision rules are built into the code.

When someone selects a time on the Rollio De Madrid website, the rules for that service kick in: the system asks them to accept the contract, offers insurance, and tracks availability for the selected program. These decision points come from the company’s existing workflow — I turn the exact rules your team keeps in their heads or on paper into executable code.

The feature is part of your website.

A custom booking system was built into the Klimessence Signature studio website. Visitors select a time on the same site where they learned about the service, and the booking details are recorded directly in the studio’s own system. This means the studio does not need a third-party booking service.

Frequently asked questions

You stay in control of client relationships throughout.

These answers explain what I need from you, which decisions remain yours, and what happens to the data. Automation is built alongside your website, not instead of it.

What do I need to prepare for our first conversation?

You don't need to prepare anything in advance. During our first conversation, we'll walk through your day-to-day operations: how a request comes in, who makes which decisions, and which steps you handle manually. I'll ask questions, and you'll explain how you work now — that gives us the rules the system needs to follow.

What if our business hours or pricing change next year?

The rules are written in code, so they can be updated for a new service, business hours, or pricing. Changing the process is separate work under a separate agreement: the 60 days of support after launch cover the operation of the completed system, not writing new rules. Let me know about the change, and I'll update the system accordingly.

Is there a monthly fee or subscription for the system?

You don't pay a monthly fee for the completed automation because the system runs on your own website. The Klimessence Signature studio also had a custom booking system built for exactly this reason: so it wouldn't need to pay for an external booking service. Hosting fees and the cost of any connected third-party service are separate; I can give you exact details once I know the specific setup.

Where is our client data stored?

Client data is created and remains on your company's own website, on your own hosting — you decide who has access to it. Before launch, an automated check reviews the security settings, and if the system includes a form, I also verify e-mail delivery.

What happens if the system makes the wrong decision?

The system doesn't make decisions: it follows the rules your company provides. You decide what should happen under each condition, and you can change those rules later. The system handles the repetitive execution; you remain in control of the rules.
